What the Insurance Clerk actually does

The whole job, in the order it happens – not a feature list.

1

Asks the insurers

You type what the client needs once; it emails every insurer you tick from your own mailbox, with a case number in the subject.

2

Reads every quote

Each quote that arrives is read and checked against the request: the cover, car hire, excess and vehicle, and any condition the client did not ask for.

3

Chases until it is right

A missing or wrong quote is chased in the insurer's own email thread, in words that say what is wrong. A client who owes documents is chased too.

4

Lays the quotes side by side

You compare them, choose one and say why; why each other one was not chosen is written from its checks.

5

Has the advice signed off

The record of advice goes to the person you name to approve before it is sent to the client to sign.

6

Keeps the yearly review

Before a policy renews it asks the client what has changed and compares the renewal with last year.

Its rules

What it does on its own, what waits for a named person, and what it never does. These are checked against the process it runs, not just written here.

It does on its own

  • Reads the Microsoft 365 mailbox you connect, and files each email that belongs to one of its cases; other mail is not read past its subject.
  • Checks every quote against what the client asked for, and flags conditions the client did not ask for.
  • Chases insurers and clients for what they still owe, from your mailbox, at most as often as its case types allow.
  • Opens the review of each policy before it renews, and moves the board's cards to match its cases.

Only when a named person signs off

  • No record of advice is sent to a client until the person you name has approved it.
  • The person who signs off can never be the person who started the run.

It never

  • Gives advice or recommends a quote: the broker chooses, and says why.
  • Sends a record of advice nobody approved.
  • Accepts a quote, places cover or signs anything for the client.

What it puts on your dashboard

A digital worker you cannot measure is one you cannot trust. Every run is logged, and the numbers below are reported without being asked for.

  • Emails read and filed on their cases
  • How many went through without you
  • Cases waiting on you now
  • Cases you settled
  • How long a record of advice waits for sign-off
  • Who approved each record of advice, and when

The systems it works in

1 pre-built connection, ready on day one. Where a system publishes an API, the digital worker uses it directly from the cloud.

The mailbox it reads and sends from

And the systems with no API at all

A broker portal you can only reach by signing in is driven through its own screens by the Automize bot on your machine. That is set up with you separately; hiring installs the cloud worker described here, which works through your Microsoft 365 mailbox.

This is the part a cloud-only tool cannot do. The Automize bot runs on your own machine, so anything a person can open, it can work in – the desktop accounting package, the bank portal, the supplier site with no integration.

Where it runs, and what you control

On your machine

The bot is installed where the work happens, so it can reach the systems that never got an API.

Credentials, your way

Keep passwords in the machine's own keychain, your AWS Secrets Manager, or our encrypted vault. You choose.

POPIA and GDPR by design

Client financial data is processed on your machine, and you choose what the bot sends. Our servers are in AWS Ireland.

Every step audited

Step-by-step logs, screenshots and timestamps for every run – and a record of who approved what.

Questions about the Insurance Clerk

No. It gathers and checks the quotes and drafts the record from the evidence; you choose, give your reason and confirm the facts, and the person you name signs it off.
The quote documents, client documents and records of advice for each case, encrypted, until the case is deleted. Ending the clerk deletes everything within a day; a lapsed payment deletes after 30 days. Email bodies are not kept.
An AI service reads each quote and document. It reads; the case's checks decide, and anything unclear goes to you.
Any insurer with a quotes email address. You list them in the clerk's setup and tick the ones to ask on each request.

Put a Insurance Clerk to work in 7 days

Quoting one client properly is a day of emails: three insurers asked, two chased, one quote with the wrong excess sent back. The advice then waits on a record nobody has time to write.
