Kanban boards

Create a board for a sales pipeline, appointments, project work or a digital worker; set up its stages and card fields; and move cards across it.

Help Centre › Orchestration

A Kanban board shows work as cards moving across columns, called stages. Use one for a sales pipeline, appointments, project tasks, or the items a digital worker picks up.

Boards are on plans that include Kanban boards. Find them under Library › Kanbans.

1. Create a board

  1. Click Add, and give the board a Name and Description.
  2. Choose What is this board for?. This sets the stages and card fields it starts with. You can change all of them afterwards, but not the board type.
  3. Pick the Currency for card values.

A digital worker can also make its own board: see Manage a worker.

2. Stages

Click Add stage at the end of the board, or open a stage's menu to edit or remove it. Each stage has:

  • Stage name and Color.
  • Probability (%): how likely a card here is to close. The board uses it for the weighted value.
  • Landing here: Nothing — the card stays open, Closes the card as won, or Closes the card as lost. Only mark a stage as closing if a card that reaches it is finished. A stage such as "Blocked" should leave the card open.
  • Appointment step (appointments boards): cards move here when that step happens, and dropping a card here performs it.
  • Sort order: where the stage sits on the board.

Removing a stage cannot be undone.

3. Cards

  • Click + at the top of a stage to add a card there (Add deal).
  • Drag a card to another stage to move it.
  • Click a card to edit it. Click its owner to assign someone else.
  • A card that has not changed for a while shows how many days it has been idle.

The top of the board shows Pipeline Value, Weighted Value (each card's value times its stage's probability), Open Deals and Won / Lost.

4. Card fields and products

  • Card fields lets you add your own fields to every card. Give each a Label, a Type, Help text, Choices, one per line for a list, a Default, and say whether it is Required and whether to Show on the card face.
  • Products (What this board sells) lists what you sell, with a Name, Code and Price. Turn off Still sold rather than deleting an old product.

5. Appointments boards

An appointments board has three views: Board, Diary and To confirm. To confirm lists appointments in the next two days that the client has not confirmed, least recently tried first.

  • Offices: the places you see clients, with a Name, Address and Region code.
  • Slot pattern: the bookable times each week. For each slot set the Day, From and To times, Whose slot it is, How many fit, and the Venue.
  • Reference prefix, Number length and Next number (when you edit the board) set how appointment references look, such as APT-00001.

Booking, confirming, moving and closing appointments has its own guide: Booking and managing appointments. Reminders are covered in Appointment reminders and WhatsApp replies, and the numbers in The sales dashboard.
