Turn a form into a marked quiz, assign it as training, and prove to an auditor that everyone passed.

A form can be a quiz. Each person's answers are marked when they submit, they see their result straight away, and the result is kept with their submission. Assign the quiz to your people and Automize reminds whoever is due, and closes the reminder when they pass.


Make a form a quiz

  1. Open the form and click Edit. Show more fields.
  2. Turn on Quiz and set the Pass mark (%), for example 80.
  3. Optionally choose a wiki under Read first. It is linked at the top of the form, so people read the course before they answer.
  4. Optionally write an Acknowledgement, such as "I have read the policies and will follow them". People must tick it to submit, and the tick and its wording are kept with their submission.

Set the correct answers

Edit each question you want marked. Under Correct answers, type the right answer exactly as the option reads, one per line. For a question where several options must be ticked, list every one of them: the person gets the mark only when they tick exactly those.

For a text question, list every answer you accept, one per line. Case and extra spaces do not matter, and numbers are compared as numbers. Points sets what the question is worth; it is one point when left blank. A question with no correct answers, such as "Your name", is not marked.

The correct answers never reach the page the person answers on, and their result names the questions they got wrong, never the right answers.


Assign it as training

  1. Open the form and choose Training from its menu.
  2. Choose who: everyone in the company, or one team.
  3. Choose how often it must be passed: once, or every 3, 6, 12 or 24 months.
  4. Choose how many days people have to pass once it falls due, then click Assign.

The Training tab shows each person as Up to date, Due or Overdue, with their last pass, last score and due date. Someone who joins later is due from the day they joined.

Every morning, each person who is due gets a task in the Action Center. It moves to high priority once they are overdue, and it closes by itself the moment they pass.


Use it as evidence for a control

Link a control, such as "Everyone completes security training every year", to the quiz form. Pick a check: nobody overdue, a share of people up to date, or a pass rate. The control is then checked on its own schedule, and each result is kept as evidence without anyone signing it off by hand.


Tips

  • Keep the course in a wiki and link it under Read first, so the quiz and the material stay together.
  • A marked question hidden by its conditions is left out of the mark, so nobody fails a question they never saw.
  • Changing a correct answer does not re-mark earlier submissions.
