Automated order capturing

Anyone can automate. The effort is what you pay for.

Automize takes the effort out. It reads the SOPs you already have, scores every process, has a bot build the winner while you approve the sensitive steps, and measures what it saved. Your people only look at the exceptions. Live in 7 days, guaranteed.

How it works

From “we should automate this” to a number on the dashboard

Most automation projects spend their first months, and most of their budget, on discovery: workshops, process-mapping consultants, and an integration project that only exists to find out what is worth doing. You already wrote all of that down. It is called an SOP.

An Automize opportunity read from its SOP: the systems the document named, the procedure it described step by step, and the document itself, marked as read.

1 Day one

Hand over what you already have

Upload the SOP, the work instruction, the procedure somebody typed up years ago. AI reads it and drafts the assessment: the systems it touches, the steps it takes, how rule-bound it is. You answer the two things a document cannot – how often, and how long.

No process-mapping workshop.

The Automize opportunity matrix: seven discovered processes placed by benefit and effort, sized by annual saving, across quick wins, big bets, fill-ins and money pits.

2 The same afternoon

See every process on one matrix

Each process lands on a benefit-by-effort matrix – quick wins, big bets, fill-ins and money pits – sized by its annual saving, with a hint whether it runs in the cloud or needs a bot on a desktop. The order to build in is on the page, not in a report.

No prioritisation deck from a consultant.

An Automize bot recording a process from its SOP: the stage it has reached, and one action held until a person approves it.

3 Press one button

Tell a bot to build it

Pick the quick win. A software bot reads the SOP and records the process in your own systems, step by step. Before anything that changes data – a save, a payment, a send – it stops and asks a person. What it hands back is a runnable process, not a diagram.

No integration project to find out what is possible.

The Automize process canvas: the first steps of a supplier-invoice flow, from finding new invoice mail to keeping only the real invoices.

4 You stay in charge

Check it, change what you like, switch it on

The recording lands on the canvas as ordinary steps. Read them, swap a screen-driven step for an API connector where one exists, add an approval where you want a person, and enable it. Nothing runs until you say so.

No developer needed to read what was built.

What an Automize opportunity actually saved: the hours the assessment estimated beside the hours measured from its runs, and the variance between them.

5 A month in

Watch the estimate meet the evidence

Once it runs, the platform counts what the automation actually saved against what the assessment said it would – from the run records, on the same page. Where there is not enough evidence yet, it says so rather than guessing.

No ROI slide. The number is on the page.

Where the effort goes

Every tool can automate a process. The bill is the people it takes to get there.

The same automation, two ways of getting to the first run.

The usual way

Weeks 1–3Discovery workshops with a business analyst.
Weeks 4–8A process-mapping consultant writes the process definition.
Weeks 9–16An automation developer builds; an integrator wires the systems.
Month 5Testing, then a team is kept on to run it.

Four to six specialist roles before the first run. Your team still checks every item.

With Automize

Day 1Upload the SOPs. Every process scored and on the matrix.
Day 2A bot records the quick win from the SOP; you approve the sensitive steps.
Days 3–6Check it on the canvas, swap in connectors, test on real data.
Day 7Live. From here the saving is measured against the estimate.

One person, looking only at the exceptions the automation puts in front of them.

The bill you skip

What you do not pay for

Three ways to run it

Automate Anything runs work three ways

Robotic Process Automation (RPA) is one of three execution modes – not the whole product. Work runs wherever it should, from one place.

Cloud automation (no bot)

Server-side flows that call APIs directly, on a schedule or a trigger. Nothing to install and no machine to leave switched on. This is what most Digital Workers use.

Software bot (RPA)

A self-contained desktop app for Windows, macOS or Linux that drives an application's own screens the way a person would – the only way to reach a system with no API, such as desktop Sage Pastel, SYSPRO, or a supplier portal. Attended or unattended.

System requirements

Human approval

A flow can suspend, put the decision in front of a named person with the document and the proposal side by side, and resume exactly where it stopped once they answer. Filings, payment runs, payroll and trust-account transfers always stop here.

AI, governed

AI in every layer – under your control

AI reads the documents, diagnoses the failures, drafts the flows and answers questions about your processes. It never acts unsupervised: when it is not certain, it stops and asks a person.

Document Intelligence

Bank statements, invoices, receipts and CVs read into structured data – with the totals re-added and the balances checked before anything posts.

AI That Builds With You

Upload an SOP and AI drafts the assessment; a bot records the process from it. On the canvas, describe a step in plain English – smart action search, process chat, and AI data transformation.

AI Error Diagnosis

When a run fails, AI reads the error, names the root cause and proposes the fix – before you have opened the log.

Your Models, Your Rules

Powered by OpenAI and Anthropic – your choice of provider and model per workspace, your own key if you want it. Only the prompts you submit, never background data.

Questions

Frequently asked questions

The questions buyers actually ask, answered plainly – from how the products differ to what happens when something goes wrong.

A cloud flow runs server-side and talks to your systems through their APIs – nothing to install and no machine to leave switched on. A software bot is a self-contained desktop app that drives an application’s own screens the way a person would, which is the only way to reach a system with no API, such as desktop Sage Pastel, SYSPRO, or a supplier portal. Automize runs both from the same platform, and a third mode – human approval – lets any flow stop and wait for a named person before anything sensitive happens.
AI reads documents into structured data, diagnoses failed runs, finds and drafts actions on the canvas from plain English, and answers questions about your processes. It is powered by OpenAI and Anthropic, with your choice of provider and model per workspace – your own key if you want it – and it only sees the prompts you submit, never background data. It never acts unsupervised: when it is not certain, it stops and asks a person.
No. Process mapping is the part of an automation project that used to cost the most and take the longest, and it mostly rediscovered what the SOP already said. Upload the SOP and the assessment, the matrix position and the first bot-recorded process come out of it. A process with no SOP can still be scored from a short description; the bot recording needs the document.
Results vary depending on the process, but we’ve seen dramatic improvements. For example, at Openserve, a single Automize bot replaced the workload of 20 people. The platform measures it for you: every scored process carries an estimated annual saving, and once the automation runs, the dashboard counts the hours it actually saved against that estimate, from the run records – not from a spreadsheet somebody updates.
There is rarely a single point of failure in RPA projects. But common pitfalls include: Complexity of RPA tools, inability to scale RPA, lack of RPA skills or knowledge, insufficient communication and change management, not involving IT from the beginning and mis-defined success criteria. Don’t be shy to ask for help at any stage of your RPA journey. Want to speak with an RPA expert? Contact us.
All customer data is hosted in AWS in the EU (eu-west-1, Dublin), encrypted in transit with TLS 1.2+ and at rest with AES-256. Bots run on your machines – credentials, files, and screen contents stay with you. We’re aligned with GDPR, POPIA, and ISO/IEC 27035; SOC 2 Type II readiness assessment is in progress. See our Trust Center for the full security posture, and the System Requirements page for the IT-team specifics.
Training is included with our Medium and Large pricing plans. In addition, all paying clients receive access to detailed training resources, tutorials, and our dedicated support team. We’re committed to ensuring your team feels confident building, managing, and scaling automations.
Absolutely. Scaling is simple - you only pay for more automation hours. Whether that means running one bot more often or deploying multiple bots, the cost structure remains the same. There are no platform penalties or hidden expansion fees.
The quickest way to find out is to upload the SOP: it is scored on benefit and effort and placed on the matrix, so you see whether it is a quick win before anything is built. As a rule, Automize excels at repetitive, rule-based tasks - anything that follows a clear pattern. Examples include processing invoices, extracting data from PDFs, updating systems, reconciling statements, generating reports, and managing email or spreadsheet workflows. If your team spends time doing the same thing every day, Automize can handle it.
It replaces the part of the job nobody enjoys – capture, coding, matching, chasing. What is left is the judgement, and that is the part clients actually pay for. Firms use it to take on more work without hiring, not to cut the team they have.
Processes that rely heavily on subjective judgement or one-off decision-making are usually not ideal. If a task requires human intuition, creative thinking, or frequent exceptions, it’s better handled by people.

Automize also does not build or support speculative trading bots. Where we use AI – reading documents, diagnosing failed runs, drafting flows – it works inside a governed process with a person approving anything that matters, not as an open-ended chatbot acting on its own.
Start by uploading what you already have – an SOP or a work instruction. The platform assesses it, places it on the matrix, and a bot can record the process for you to review. Where a process has no document, or the document is out of date, our team still does the process analysis and design with you. You don’t need to have everything mapped out - the point is that you no longer have to.
Automize integrates with a wide range of platforms - including SAP, Xero, Excel, and custom business systems - through direct connectors, APIs, or intelligent screen automation. Whether your setup is cloud-based or on-premise, our bots can interact with it just like a person would.
Most clients see measurable improvements within the first two weeks of going live. From reducing manual workload to faster transaction times, Automize delivers visible ROI almost immediately.
We offer a 14-day free trial. We will remind you to activate your account before the trial is over. In case you didn't upgrade in time, then we will keep your information available for a period of time in case you return.
Yes. We will do a proof of concept for up to 100 users, for up to 1 month. During the proof of concept, we will work with you to ensure that all agreed Key Performance Indicators are met.
Just a Windows, macOS, or Linux machine for each bot, outbound HTTPS access to automize.co.za (plus a short public-CDN allowlist for the browser portal), and credentials for the systems the bot will automate. The bot is a self-contained desktop app – no programming languages or runtimes to install. Full hardware specs, network rules, SSO support (WorkOS, SAML/OIDC, Okta, Microsoft Entra ID), audit logging, backup & DR, and the pre-build IT checklist are on our System Requirements page.
