No Retaliation

Exercising a privacy right will never affect your service, price, or experience.

Use this form to exercise your rights under the GDPR (EU and UK), the CCPA / CPRA and other US state privacy laws, POPIA, and equivalent privacy laws in your jurisdiction. We will acknowledge your request within 10 days and respond fully within 30 to 45 days, depending on the law that applies to you.

1. Submit Your Request

If you would prefer email, write to privacy@automize.co.za — the same information is required either way.

 

2. What Happens Next

  1. Acknowledgement — we confirm receipt within 10 days.
  2. Verification — we may ask you to confirm control of the email address on the account, and for sensitive requests (deletion, access to identifying records) a second factor of identity. We will only ask for what is reasonably necessary.
  3. Response — we respond within 30 days under GDPR / POPIA, 45 days under CCPA. If your request is complex we may extend by another 30 to 45 days and will tell you why.
  4. Action — we carry out your request, instruct our sub-processors where applicable, and confirm completion to you. Some data may be retained where law requires (e.g. tax records, security logs).

3. Identity Verification

To protect you, we verify identity before acting on requests. For most requests, control of the registered email address is sufficient. For deletion or full data exports we may also ask for one of:

  • A unique account identifier we already hold for you.
  • Confirmation of recent activity (e.g. the date of your last sign-in, the name of a process you created).
  • For high-risk requests, a copy of a government-issued ID. We will tell you exactly what we need before asking, will not retain ID copies longer than necessary, and will redact what we do not need.

4. Authorised Agents

If you are submitting on behalf of someone else, please tick “authorised agent” on the form and we will follow up with the documentation we need. We typically require a signed letter of authority or power of attorney, and we will verify identity directly with the data subject.

5. No Retaliation

You will not be denied service, charged a different price, or downgraded for exercising any privacy right. This is a legal commitment under the CCPA, GDPR, POPIA, and equivalent laws — and a value we hold as a company.

6. Fees

Privacy requests are free. We may charge a reasonable fee or refuse a request if it is manifestly unfounded, excessive, or repetitive (for example, the same request submitted multiple times in a short window). We will explain in writing if this applies.

7. Your Right to Complain

If you are unhappy with our response you may lodge a complaint with the data protection authority in your jurisdiction:
